Sharing is caring!

You might be interested in applying for one of our positions. By being interested, you might be curious to know more about our available career growth opportunities. Well, if that is the case, you are in the right place! In our previous blog, Being a Marketing Assistant With Job Duck, we covered the tasks and responsibilities of our Marketing Assistants. This time around, we would like to go in-depth about Being a Receptionist With Job Duck:

Let’s talk about What It’s Like Being a Virtual Receptionist With Us:

Communication between Virtual Receptionists and employers is relatively easy in this day and age. Therefore, our Receptionists primarily use Zoom or phone calls, whichever way the employer based in the U.S. prefers. That’s why all of our Assistants must have a personal computer/laptop, a headset, and good internet speed (download speed: 10Mbps, upload speed: 5Mbps). Furthermore, all of the equipment must be reliable and updated.

We work on Eastern Standard Time, as our employers are from the United States. Nevertheless, the working schedule might vary depending on the employer based in the U.S. What’s more, our staffers work forty hours a week with two fifteen-minute breaks and a one-hour lunch break every day.

Daily Tasks and Responsibilities

Our Virtual Receptionists are remote workers familiar with office administration, including making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. They have excellent oral and written communication skills and organize their work using MS Excel and other office equipment.

Our Receptionists:

  • Schedule meetings
  • Travel arrangements
  • Working on Microsoft Office
  • Respond to emails and phone calls
  • Address employees’ administrative queries
  • Provide customer service as the first point of contact
  • Attending Zoom calls and taking notes
  • Prepare customer spreadsheets and keep online records
  • Organize managers’ calendars
  • Perform market research
  • Create presentations as assigned
  • Create templates for the company as requested
  • Planning and scheduling mailing campaigns

It is important to remember, however, that the responsibilities may vary from employer to employer.
